Who we are
Orange Hill Studios (“we”, “us”) runs rehearsal and recording studios at 6 Brook Lane Business Centre, Brentford, TW8 0PP. Our website is https://orangehillstudios.com. We are responsible for the personal data you give us. Contact us about privacy at orangehillstudio@gmail.com or on 07464 187824.
What we collect
- Account details: your name, email address, phone number and password when you register. You need an account to book.
- Booking details: the room, date, times and price of each booking, plus any cancellations and account credit on your account.
- Billing details: your name and billing address as entered at checkout. Card payments are handled by Stripe, so we never see or store your full card number.
- Door access: our studios use Codelocks keypad locks. We create a door code for your booking, and the lock records when codes are used.
- Marketing preference: whether you ticked the optional box to hear about offers and news, and when.
- Technical data: your IP address and browser details, which our website and payment provider record for security and fraud prevention.
How we use it, and our legal basis
- To take and manage your bookings, including confirmations, door codes, changes, cancellations and account credit. We need this to provide the service you’ve booked (contract).
- To take payment and keep financial records. We’re required to keep these by law (legal obligation).
- To keep the site and studios secure and prevent misuse (legitimate interests).
- To send you offers and news, but only if you ticked the box (consent). You can unsubscribe at any time using the link in any email, or by contacting us.
Who we share it with
We only share your data with services that help us run the business:
- Stripe: payment processing
- OVHcloud: website hosting and sending our booking emails
- Codelocks: door access codes
- Dropbox: secure storage of website backups
Your name and booking reference also appear on our internal room calendars, which only our staff can see. We never sell your data.
Cookies
We only use cookies the site needs to work. These keep your basket and bookings working and keep you logged in. Stripe also sets cookies at checkout to help prevent fraud. We don’t use analytics or advertising cookies.
Embedded content
Some pages show content from other sites, such as our Google reviews. That content behaves as if you had visited the other site directly, and the other site may collect data about you.
How long we keep it
- Booking and payment records: 6 years, for tax and accounting.
- Your account: until you ask us to close it.
- Marketing consent: until you withdraw it.
- Door access logs: 12 months.
- Website backups: replaced on a rolling basis.
Your rights
You can ask us for a copy of your data. You can also ask us to correct it, delete it, limit how we use it, or send it to someone else, and you can object to how we use it. Email orangehillstudio@gmail.com and we’ll respond within one month. We may have to keep some records, such as payment records, where the law requires us to. If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office (ico.org.uk).
Where your data goes
Some of our providers, including Stripe and Dropbox, may process data outside the UK. When they do, they use approved safeguards such as the UK International Data Transfer Addendum.
